This Policy applies to personal data relating to:
- website visitors and online-shop customers;
- people who request information, a quotation or a site survey;
- customers, prospective customers and their authorised representatives;
- people who contact us by email, telephone, Messenger, Instagram or WhatsApp; and
- people whose project photographs or reviews we publish with permission.

Depending on how you interact with us, we may collect:
- Identity and contact details: name, billing and delivery address, project address, email address, telephone number and social-media username or account details.
- Enquiry and communication details: messages, emails, call notes, answers submitted through lead forms or Messenger templates, quotation requests and any information you choose to provide.
- Project and site-survey details: property address, photographs, measurements, drawings, preferred structure, roof covering, installation requirements, site conditions, project description, quotation, 3D visualisation and related technical information.
- Order and transaction details: products and services ordered, prices, VAT, delivery and installation information, invoices, payment method, payment status and transaction references.
- Website and technical information: IP address, browser and device information, security and server logs, and information stored by cookies that are necessary for website security, shopping-cart, checkout, session or payment functions.
- Project photographs and reviews: photographs of completed work, comments, testimonials and related publication permissions.
Please do not send us personal data that is not relevant to your enquiry or project. We do not need or intentionally request special-category personal data, such as health information, for ordinary quotations or orders.
4. How we collect personal data
We collect personal data:
- directly from you when you contact us or provide project information;
- when you use our WooCommerce shop, cart or checkout;
- when you respond to our Facebook or Instagram advertising or communicate with us through Messenger, Instagram or WhatsApp;
- during a telephone call, email exchange or site survey;
- when we deliver, install, support or provide warranty service for a project;
- from payment providers or banks, which may provide payment confirmation, payer name and transaction reference; and
- from a person acting with your authority, for example a family member, contractor or representative involved in the project.
5. Why we use personal data and our legal bases
Enquiries, quotations, 3D proposals and site surveys
We use contact and project information to respond to you, understand your requirements, arrange a site survey and prepare a quotation or 3D proposal. Our legal bases are taking steps at your request before entering into a contract and our legitimate interests in responding to enquiries, providing customer service and developing suitable project proposals.
Orders, delivery, installation and warranty support
We use your data to confirm specifications, process and fulfil your order, coordinate delivery or installation, communicate about the project, manage warranty support and handle complaints or claims. Our legal basis is the performance of our contract with you or taking steps at your request before entering into that contract.
Payments, accounts and legal requirements
We use transaction, invoice and customer information to process and confirm payments, keep accounting records, meet tax and consumer-law obligations, and establish, exercise or defend legal claims. Our legal bases are the performance of a contract, compliance with legal obligations and our legitimate interests in managing our business and protecting our legal rights.
Website operation, security and business administration
We use limited technical and account information to operate and secure our website, prevent misuse or fraud, troubleshoot problems, maintain business records and protect our systems. Our legal basis is our legitimate interest in operating a secure and effective business and, where applicable, compliance with legal obligations.
Project photographs and customer reviews
We publish identifiable project photographs or customer reviews only with the customer’s permission. Our legal basis is consent. You may withdraw consent for future use at any time by contacting us. Withdrawal does not affect any use that was lawful before consent was withdrawn. Where reasonably possible, we will remove the material from channels under our control, but it may not be possible to recall printed material already distributed or copies independently made by other people.
Optional marketing in the future
We do not currently operate a promotional email newsletter. If we introduce optional direct marketing in the future, we will send it only where we have a valid legal basis and, where required, your consent. Every electronic marketing message will provide a straightforward way to unsubscribe.
6. Information you must provide
You may browse most of our website without identifying yourself. However, we need certain contact, project, delivery and payment information to prepare an accurate quotation, enter into a contract, fulfil an order or provide warranty support. If required information is not provided, we may be unable to provide the requested quotation, product or service.
Permission to use a project photograph or review for promotional purposes is always optional. Refusing or withdrawing that permission will not affect your quotation, order, installation or warranty rights.
7. Payments
Payments may be made through Stripe, PayPal, bank transfer or cash, depending on the transaction. Card and PayPal payment details are processed by the relevant payment provider. AVC Build does not receive or store your complete card number, card security code or PayPal login credentials. We receive and retain the information needed to identify the payment, such as payment status, payer name, amount, date and transaction reference.
Payment providers process personal data under their own privacy notices and may use it for payment security, fraud prevention, regulatory compliance and dispute handling.
8. Who we share personal data with
We share personal data only where reasonably necessary for the purposes set out in this Policy. Recipients may include:
- authorised AVC Build managers, staff and our own installers who need the information to manage, deliver or install the project;
- our external accountant for bookkeeping, tax and financial reporting;
- website, hosting, e-commerce, security and IT service providers, including services used with WordPress, WooCommerce and Cloudflare;
- Google services used for business email and website administration, including Gmail and Google Search Console;
- Meta services used for advertising and communications, including Facebook, Instagram, Messenger and WhatsApp;
- Stripe, PayPal, banks and other payment-service providers;
- professional advisers, insurers, regulators, courts, law-enforcement bodies or public authorities where disclosure is required or permitted by law; and
- a purchaser or adviser involved in a genuine sale, merger or restructuring of all or part of the business, subject to appropriate confidentiality and data-protection safeguards.
Manufacturers and suppliers receive technical project information only where it is needed to manufacture or supply the structure. We do not provide them with customer personal data where the work can be completed using technical information alone.
We do not sell personal data.
9. Facebook, Instagram, Messenger and WhatsApp
If you submit information through a Facebook or Instagram advertisement, Messenger or WhatsApp, AVC Build receives the details you provide so that a manager can review your enquiry, contact you and prepare or discuss a project proposal. Every enquiry is reviewed by a person before we make a quotation or project decision.
Meta also processes information as the provider of those services and may use automated systems to deliver or measure advertising under its own terms and privacy policy. Your use of a Meta service is also subject to the privacy information supplied by Meta.
10. International transfers
Some service providers, including communications, cloud, security and payment providers, may process personal data outside Ireland or the European Economic Area. Where GDPR transfer rules apply, we rely on an adequacy decision, approved Standard Contractual Clauses or another lawful safeguard. You may contact us for further information about the safeguards relevant to your data.
11. How long we keep personal data
- Enquiries that do not become orders: normally 24 months from our last meaningful contact, unless the information is needed for an ongoing dispute, legal requirement or another documented reason.
- Customer, order, project, payment and warranty records: normally 10 years after completion of the project. This supports our ten-year product-warranty records and includes the financial records that Irish businesses must retain for at least six years.
- Project photographs and reviews: for as long as they remain useful for the agreed publication purpose, or until consent is withdrawn, subject to the practical limitations described in section 5.
- Consent records and legal claims: for as long as reasonably necessary to demonstrate compliance or establish, exercise or defend a claim.
We may retain information for longer where required by law, a court, a regulator, an investigation, an unresolved complaint or a legal claim. When personal data is no longer required, we will delete it, securely dispose of it or anonymise it. Third-party platforms may keep their own copies under their respective retention policies.
12. Cookies and similar technologies
Our website uses cookies and similar technologies that are necessary for website security, network communication, shopping-cart, checkout, session and payment functions. For example, WooCommerce cookies allow the cart to remember products selected by a visitor. Strictly necessary cookies do not require consent, but we still provide information about their use.
At the date of this Policy, AVC Build does not use Google Analytics, Google Tag Manager or the Meta Pixel on avcbuild.ie. Google Search Console is used to monitor the website’s presence in Google Search and does not require AVC Build to place an advertising or analytics tracking cookie in a visitor’s browser.
If we introduce non-essential analytics, advertising or conversion-tracking technologies in the future, we will update our information and request consent before those technologies are activated, where consent is required. You can also control or delete cookies through your browser settings, although blocking strictly necessary cookies may prevent the cart or checkout from working.
13. Security
We use reasonable technical and organisational measures designed to protect personal data. These include password-protected digital services, restricting access to people who need the information for their work, securing paper records and using reputable service providers for website, communications and payment functions. No method of storage or transmission is completely secure, but we review our measures and update them where reasonably necessary.
14. Children
Our products, services and online ordering are intended for people aged 18 or over. We do not knowingly accept orders from, or intentionally collect personal data about, anyone under 18. If you believe that a person under 18 has provided personal data to us, please contact us so that we can review and, where appropriate, delete it.
15. Automated decision-making
AVC Build does not use personal data to make solely automated decisions that produce legal or similarly significant effects. Enquiries, quotations, orders and project decisions are subject to review by an AVC Build manager.

Subject to the GDPR and applicable Irish law, you may have the right to:
- request access to your personal data and receive a copy;
- ask us to correct inaccurate or incomplete data;
- ask us to erase personal data in certain circumstances;
- ask us to restrict processing in certain circumstances;
